Manufacturing a garment is half the job. Moving it through documentation, compliance testing, customs, and a 28-day ocean voyage to a buyer in New York or Paris is the other half. Here is how that journey is structured.

In short

Vihaan International exports apparel under FOB, CIF, or DDP terms across the USA, UK, Canada, France, and the EU. Compliance testing (REACH, CPSIA, Prop 65, Oeko-Tex) runs in parallel with production. Full document set — invoice, packing list, certificate of origin, Form A, BL, inspection certificate, compliance reports — is prepared pre-shipment.

The export workflow

  1. 01Order confirmation

    Pre-Production Documentation

    Buyer's purchase order is converted into a documented work plan with destination-specific compliance flagged upfront.

    Once a PO is confirmed, we issue a sales contract specifying Incoterm (FOB/CIF/DDP), payment terms (LC, TT, DA), shipping window, and inspection method. Destination-specific compliance — CPSIA for the USA, REACH for the EU, Prop 65 for California, Modern Slavery Act declarations for the UK — is mapped at this stage so the testing schedule lines up with the production schedule.

  2. 02During bulk production

    Production & In-line Compliance

    Fabric and trim test reports are collected in parallel with production. No surprises at pack-out.

    Fabric is sent to an accredited lab (SGS, BVCPS, or Intertek) for the compliance battery the destination requires. For the USA, that typically means lead and phthalate content (CPSIA). For the EU, REACH SVHC declarations. Trims with metallic content go through nickel-release testing. All reports must clear before the consignment leaves our facility.

  3. 03Pre-shipment

    Final Inspection & Shipping Documents

    AQL 2.5 inspection, then the full shipping document set is prepared in parallel.

    After internal AQL 2.5 inspection (and any buyer-appointed third-party inspection), we prepare the document set: commercial invoice, packing list, certificate of origin, Form A or GSP certificate where applicable, fumigation certificate for wood-pack consignments, inspection certificate, and the bill of lading or air waybill. Originals are couriered to the buyer; scanned copies are emailed for customs pre-clearance.

  4. 04Dispatch onward

    Shipping & Delivery

    Consignment moves under the agreed Incoterm with full traceability until handover.

    Sea freight is the default for FOB and CIF consignments; air freight for express or low-volume DDP. We work with established freight forwarders for each major lane (Mundra and Nhava Sheva for sea; Delhi and Mumbai airports for air). Tracking is shared at every milestone — port entry, vessel sailing, transhipment, arrival, customs clearance, last-mile delivery for DDP orders.

The export document set

A complete document set is the difference between smooth customs clearance and a delayed consignment sitting at the destination port. We prepare all of the following per shipment, then courier originals and email scans for pre-clearance.

Why we test compliance before production ends

Compliance failures discovered at pack-out are catastrophic — the entire consignment is held. Discovered at destination customs, it is worse: the shipment is impounded, the buyer pays demurrage, and the brand carries reputational damage with its end customers.

We pull fabric and trim samples for compliance testing in the first week of bulk production, so reports clear before the last carton is packed. If a report flags an issue — typically a trim component over the lead or phthalate threshold — we have time to substitute the trim and re-test without delaying the shipment.

Connected processes

The export workflow inherits from earlier stages of production. The five-stage QC protocol determines whether AQL 2.5 final inspection passes. The PPS determines what compliance testing baseline we report against. The fabrics library determines which destinations a given fabric is compliant for. All sit under the manufacturing capabilities hub.

Export Process — FAQs

Core export markets are the USA, UK, Canada, France, and broader EU. We also handle shipments to the Middle East and selected APAC markets. Each lane has established freight-forwarder relationships and country-specific compliance workflows.

All three Incoterms are supported. FOB (free on board) is the most common for established buyers with their own freight contracts. CIF (cost, insurance, freight) includes ocean freight and marine insurance. DDP (delivered duty paid) is offered for smaller buyers and last-mile fulfilment programmes.

For a 500–1,000 piece order in standard fabric: 7–10 days sampling, 18–22 days bulk production, 5–7 days compliance testing and final inspection in parallel, and 18–28 days sea freight depending on destination. Air freight reduces transit to 5–7 days at higher cost.

REACH (EU SVHC declarations), CPSIA (US — lead and phthalate limits), California Prop 65, Oeko-Tex Standard 100, and the relevant flammability and physical-property tests by category. Testing is performed by accredited labs and reports are released directly to the buyer.

Under FOB or CIF, the buyer's nominated customs broker clears the consignment. Under DDP, we coordinate destination clearance through our forwarder's network and deliver to the buyer's door. Duty and destination taxes are settled per the Incoterm agreed at PO.
